Ancient Organizers Meeting: Tue August 26th

It's at Knights Templar (behind the Old Bank) 6:30. Apart from a little catching up on progress we have 1 important question to answer that requires as many organizers as possible: sizing the conference. Please try to come along. -- DuncanPierce

Initial Organizers Meeting: Notes from 29th July

Here are my notes on the meeting (DuncanPierce). Will also took copious notes, so he might have caught some things I missed. If anything here is wrong, please correct it. If it's important, it might be worth contacting the person concerned so they know things have changed.

First off, thanks to everyone who made it along, including a heroic appearance by RachelDavies who came down to London specially.

The purpose of the meeting was to link roles to people and ensure everyone understands what they are doing, is happy with that, and knows what everyone else is doing! We have some of the people-role mappings in place, but one or two holes. If you can fill one of these or know someone who can, please contact DuncanPierce.

Here is who is doing what. You can add yourself to this list or assign yourself to an unfilled role.

  • Conference chair = DuncanPierce
  • Treasurer = PeterBrown
  • Registration = WillStott
  • Location = DanPollitt is investigating whether IBM can help, but isn't committed to the role (or is he?!)
  • Programme = RachelDavies (Rachel wouldn't mind sharing the role with anyone who wants to learn for next year)

LisaVanGelder and PaulNasrat have also offered their invaluable help again this year. BenHogan has offered to continue hosting the domain and also sort out various server issues. Thanks!

That leaves the following people who have expressed an interest unallocated. There's still time to sign up for something, chaps.

Near-term Actions / Todo

  • Arrange a private wiki for the organizers so we can keep our heads straight about what's going on Done
Maybe the pages relating to the actions below should be created on this organisers wiki? --RachelDavies
  • Put up the "coming soon" page on the www.xpday.org website (WillStott)
  • Ensure we have proper integration between paypal and our registration system (WillStott)
  • Create a set of XP Stories for the new website
  • Link registration to session sign-up
  • Contact possible sponsors with sponsorship options (DuncanPierce and RachelDavies)
  • Begin "sizing" the conference - number of delegates, organizers and speakers (all organizers)
  • Arrange charging structure (DuncanPierce, WillStott and PeterBrown)
  • Soon, publicize preliminary details (we need some basics in place first)

Calendar

The target date for the conference was November 27-28, now moved to December 1st-2nd (culminating in XtC) to avoid clashing with Thanksgiving on 28th. This depends on a huge number of factors, so it may well slip a few days either side. We'll try to keep it away from Xmas though.

We're aiming to get this year's website up by September 1st, although the content is unlikely to be fully finalized at that point (e.g. the programme will only be provisional at that stage). We are aiming to get the registration process live by September 15th.

Sponsors

We have some possible sponsors, and RachelDavies and DuncanPierce will be talking to various of them over the next few weeks.

Talked to MaryPoppendieck at AgileDevelopmentConference and she may be up for this + a tutorial on Lean sw dev --RachelDavies

Stuff to think about

DuncanPierce would like to collect more data from people at the end of the conference about what they enjoyed most so we can tailor the conference next time.

He'd also like to get some feedback in place so we can size the conference to the number of prospective attendees more easily next year (there's strong evidence we consistently underestimate demand).

He'd also like to look at expanding the format of the conference.

Programme

XPDay1 and XPDay2 were a great success. I think it would be a great shame not to hold a third event! How about a XPDay3CallForPapers to see what sort of speakers would be available?
